1. Guest Relations Executive - OP
Job Specification Qualification Minimum Graduates, BHM / Aviation / Hotel
Management degree is preferred.
Experience Fresher / 1-2 years’ experience in Hospital will be an
added advantage.
Skills Good Communication, Presentable, Willing to work in
shifts, on Sundays & holidays and for long hours,
Ability to handle stress.
Grooming Norms Proper professional grooming norms to be maintained
as per the instructions received from time to time.

2. Guest Relations Executive - IP
Job Specification
Same as Guest Relations Executive – OP
Job responsibilities of GRE at Wards

• Inpatient bill updation on daily basis which includes order entries of IP Visits, bed charges, investigations, procedures, OT/ surgery details, implants, etc.
• Check for double indenting & billing of stationeries and consumables during discharge and rectify the same before dispatch of bill cards.
• Final crosscheck of bill cards of patients to be discharged within time to the discharge desk.
• Addressing to/ solving inpatient billing related queries/ grievances of patient parties.
• Coordination with various departments for the below mentioned purpose;
a) Nursing dept- daily report follow up, IP discharge, order entries, medicine return, etc.
b) Admission desk- for proper handovers regarding charge bed category.
c) IP Pharmacy- for pharmacy clearance, posting of implants, etc.
d) Discharge- for billing and discharge related issues.
• Daily follow up of all inpatient investigation reports with pathology, Radiology, endoscopy, etc departments to ensure timely availability of
reports at the nursing station.
• To inform HOD about the various problems that they are facing.
•Must be responsible for any other work assigned to you from time to time.

Job responsibilities of GRE at Telephone
• Wishing the caller in a pleasant and helpful manner
• Connecting to the various departments of the hospital to numbers and extensions.
• Giving information about:-
a) Doctor’s numbers
b) Ambulance numbers
c) Hospital numbers
d) Surfing the net for various institutes, hotels, hospitals numbers.
e) Informing various departments about meetings, appointments and trainings
f) Maintaining various on-call lists of doctors and other departments
g) Informing OP GREs roster, and other communication about and within the hospital
h) Carrying out announcements

• Wishing the caller in a pleasant and helpful manner
• Patiently listening to patient queries, vendors and other corporate calls so as to understand which department to connect to.
• Customer Care- providing information about the hospital’s facilities, if the respective department is unable to receive the call.
• Giving road direction about the hospital’s location and address to new potential patients.

• Soft Board-
a) Putting up latest notice from different departments of the hospital (e.g., non availability of doctors, etc.,)
b) Maintaining on call roster of Manager on Duty, A.C. plant, technicians, anesthesiologists, on call doctors and other hospital related circulars. (e.g., changes of numbers, advertisements and events related to the hospital, packages etc.
• Hard Board-
?? Updating clinical extension numbers
?? Top management important numbers
?? Doctor’s room extensions.
?? Secretary Numbers and on call numbers.

• Various files
• Note books
• Updating lists
• Names of staff of the different departments of the hospital
• Handover Copy

5. DURING NIGHT SHIFTS :- Maintain the transport department:-
a) Recording patient movement
Instructing transport & housekeeping to various departments as required


Job Responsibility
• Greet patients and visitors in a prompt, courteous and helpful manner.

• Responsible for handling in patient enquiries.

• Coordinating and communicating with the patients for any information as and when required by them.

• Taking appointments over the phone as well as in person for OPD doctors.

• Maintaining appropriate register and ensuring patients consult the doctors serially according to the appointments made.

• Registration done for new patients.

• Must be responsible for any other work assigned to you from time to time.
